Access

Is the app public? Can I find it in Zapier's app directory?

No. It is private and invitation only, and never listed. Ask for an invitation at [email protected]. The invitation link is sent to you directly and is not published anywhere on this site.

Who can use it?

Any Hub client that has been invited and can make an API key. The key decides what the app may do, not Zapier.

Is it finished?

It is a beta. Only two steps have been run in a real Zap so far. See Beta status. Use the Sandbox first.

Does it cost anything?

This documentation states no prices. Zapier's own plan and its task limits apply to your Zaps, and Zapier sets them. Inside the Hub, only the three [Spends credits] actions use your credits, and the sandbox never does. Ask support about anything to do with your Hub contract.

Does it work on Zapier's free plan?

Zapier lets you build Zaps on its free plan, with limits that Zapier controls: at the time of writing, two steps in a Zap and polling about every 15 minutes. Recipes 1, 2 and 4 fit; recipe 3 has three steps. Check Zapier for the current limits.

Connecting

Which key should I use?

A key made only for Zapier, with Custom access and the scopes your Zaps need. Do not reuse the key of another system. Do not use a full access key: the app refuses it.

Why was my key refused?

It holds a scope of Occupational Health, DBS and Right To Work, or the full access scope. See Keys the app refuses.

Can I connect two Hub accounts, or the sandbox and the live Hub?

Yes. Connect the app again for each: Zapier keeps each connection separately and its label starts with the environment. Keep the sandbox connection for testing and use a second for live.

I added a scope to the key. Why does the step still say it is missing?

The app reads the key's scopes when you connect. Reconnect the account under My apps in Zapier.

Where do I type the address of the sandbox?

You do not. The app chooses https://dev.hbcompliance.co.uk/sandbox/api/v2 for Sandbox and https://hub.hbcompliance.co.uk/api/v2 for Live.

Using it

Why can I not choose Occupational Health, DBS or Right To Work?

Zapier's data terms say it is not designed for health data or criminal records. So the app leaves them out. See Data protection.

Why is there no list of all my candidates to pick from?

It would put every candidate's name and email into the Zap editor and cost many calls. Use a Find button or map the candidate from an earlier step.

Why do I get the same result twice?

Actions that create things are safe to repeat: two runs with identical inputs inside 24 hours get the first answer and act once. The field Replayed From an Earlier Identical Run says so. Change an input if you meant a new request.

How do I find a course group number for Start Training Access?

Use Find Training Access for the candidate. It lists each course group with its number, status and expiry, and a quote for starting them.

How are dates and times written?

Dates are the UK calendar day, for example 2026-11-30. Times are HH:MM in 24 hour UK time. Moments are ISO 8601.

A trigger shows an example I did not create. Why?

Test trigger shows the Hub's example until a real event arrives. Raise a real event in the sandbox (the console's Simulate) and test again.

Can a Zap start access or approve a renewal safely?

Yes, with a Maximum Credits ceiling, the confirmation tick and the key's daily caps in the Hub. If a price is above your maximum, nothing is charged. Turn on Include details on the trigger so the Hub, not the message, is the source of truth.

Stopping

How do I stop the app?

Turn Zaps off (that removes their webhook endpoints), delete the key (everything stops at once) and delete the Zapier connection. See Switch Zapier off or take access away.

What happens to the webhook endpoints when I turn a Zap off?

The app removes its own endpoint. If that fails, the Hub switches an endpoint off when Zapier says the Zap no longer exists, and after 25 failed deliveries in a row.

Help

Where do I report a problem or ask for a step?

Write to [email protected] with the reference from the error, the step and the Zap name. Never send the key. See Troubleshooting.

Where is the technical detail?

The API behind the app is described in the API reference of this site. For code, see the Hub SDK and the MCP server.
